The problem — and the path to 80 patients a day
Your own numbers: ~805 quiet drop-offs · five fixes · ~$820K year-one upside

We analyzed your patient records — counts only, no patient details ever leave your portal — and the conclusion is important: getting to 80 patients a day is not a marketing problem, and it does not require buying ads. The patients you need have already walked through your door once. They're being lost at four specific points, and every piece we're building exists to close one of them.

  • Ana answers every call, day and night
A referral that reaches voicemail often never calls back. Answering in seconds — in English, Português, or Español — and booking the evaluation on the spot is the single fastest fix.
  • Online intake captures every referral
intake.aironpt.com means a patient can start at 11pm from their phone. No paper, no phone tag, nothing lost between the doctor's office and your front desk.
  • The front-desk queue stops silent drop-offs
Your data shows patients quietly stop around visit 5 of a prescribed plan. The queue flags anyone falling behind their plan of care so your team reaches out before they disappear — that's finishing prescribed treatment, exactly as ordered.
  • Cancelled slots get refilled, not wasted
Reminders cut no-shows, and a standing waitlist offers freed slots the same day. An empty 3pm slot filled is a visit that was about to evaporate.
  • Referring doctors hear back automatically
Evaluation summaries and progress notes go back to the referring physician without anyone typing an email. Doctors send more patients to the practice that keeps them informed — the one growth channel that compounds.
Months 1–3
First gains

Inviting past patients back starts producing visits within weeks — it's the only lever that pays immediately, and you have ~950 people to invite.

Months 3–6
Visible growth

Care-plan follow-up catches drop-offs; cancellations refill. Added billing reaches roughly $40–75K per month.

Months 6–9
Full system

All five fixes running together. Around +$90K per month in added billing at standard NJ rates.

Year one
The result

Roughly $820K in added revenue in the first twelve months, and about $1.1M per year after that.

Year-2 run rate

Added revenue, cumulative (solid)Cash actually collected (dashed)
Cumulative added revenue reaches ~$820K by month 12; cash collected follows about two months behind.

Revenue figures are a model using standard NJ workers'-comp and PIP reimbursement (about $110 per visit) against your current 40 visits a day — three quick reports from WebPT will let us tighten them to your exact payer mix. Reaching 80 a day also means adding treating capacity; we'll plan staffing with you as the schedule fills. Every step above uses only your own patients and your own referrals — fully within healthcare marketing rules.

  • Done
Phase 1 — Intake foundation, complete
Your online intake, the secure storage behind it, and the front-desk queue — delivered and paid.

Online patient intake, on your domain
Trilingual, all four payment paths, e-signature consent, AirOn-branded. Approved by you — thank you.

    Secure, HIPAA-compliant storage
Every submission lands in your portal, scoped to your practice, with the compliance agreements in place.
  • Done
    Front-desk verification queue

  • Done
Ana — built, tested, and independently reviewed
She handles every kind of call — new patients, reschedules, call-backs, messages, and hand-offs to your staff — and logs all of them for your front desk. Emergencies are directed to 911 immediately.
  • In progress
Ana's voice — scope updated at your request
Instead of renting her voice from a third-party provider at a steep per-minute cost, we're moving Ana to a voice engine you own outright — no per-minute voice licensing, and it transfers with the practice like everything else. We'll pick how she sounds together before anything goes live.

What we need from you
Three things, about 30 minutes — this is what switches Ana on

Three things, about 30 minutes total

These are the only items standing between here and Ana answering your phones.

  1. Sign the Services Agreement and the HIPAA agreement. We're sending you a fresh signing link — please use that one rather than the earlier DocuSign email, which is being replaced.Signing is what lets Ana start answering your phone line, and it puts the HIPAA paperwork formally in place for the intake form that is already running.
  2. Send three quick answers. Your cancellation notice window and no-show fee · which front-desk emails should get "new patient waiting" alerts · your Notice of Privacy Practices (or say the word and we'll draft one at no charge).Type them in the form below, or call and we'll write them down while you talk. Your intake is already approved — thank you.
  3. Add us to your accounts. Twilio, Deepgram, and Anthropic — add tn@ket-digital.com so we can connect Ana.Step-by-step links in the cards below — about five minutes each. Never send passwords or keys by email.

How we protect your license
Compliance first — the fixed order before any real patient call

Ana handles protected health information, so the order is fixed: agreements signed → we verify every compliance agreement is executed in your vendor accounts → you and I make a live test call together with sample data → only then does she answer a real patient. No patient call touches the system before that's confirmed.
